One Mic Button, Just Speak: Property Inspections Dictated in Natural Language

August 16, 20266 min read

Picture the scene. You’ve just arrived at a property; the tenant is waiting with keys in hand. You step into the living room.

From that moment on, you have two options.

The first option is the one everyone knows: you pull out your tablet, create the room, add the sofa, search for "sofa" in the item catalog, select its condition rating, open the notes field, type away, and move on to the next item. For twenty minutes, your eyes are glued to a screen while the tenant stares at the ceiling.

The second option: you tap a microphone icon, and you just talk.

This second option is exactly what we built into Check-Immo, and what our users have been relying on for months now. One single button. Under the hood, an AI engine understands complete sentences in everyday conversational speech and executes every single instruction they contain.

Two Ways to Let AI Do the Heavy Lifting

Option 1: The Camera

You walk into the living room. Tap the camera icon and take a few wide-angle shots of the room—walls, flooring, furniture, windows. Then hit confirm.

In less than ten seconds, the AI generates every item it identifies: sofa, chairs, walls, paintwork, blinds, baseboards, lighting fixtures. It doesn’t just list them; it describes them—furniture style, material, color, visible defects. It even provides an initial cost estimate for any detected damage.

All that's left is to review and fine-tune its suggestions. You shift from being a manual data-entry clerk to a supervisor—saving considerable time and effort.

Option 2: The Microphone

This is where things get really interesting. Tap the mic icon and speak naturally, just as you would to a human assistant taking notes beside you.

No keywords to memorize. No rigid syntax. No voice commands to learn. Just speak normally.

Here are three real-world examples, ranging from simple to advanced.

Example 1: Creating a Room and its Items

You walk in, tap the microphone, and say:

"Create the living room, and inside add a sofa, a low cabinet, and a TV, all in good condition."

That's it. The app creates the Living Room, adds the three items, and marks each in "good condition."

The time you would have wasted tapping through menus is now spent engaging with your client.

Example 2: Adding Granular Details

A single sentence can pack a wealth of information. Take this one:

"Add a new room called living room. Inside, put a blue fabric sofa with a torn armrest, set its condition to poor. Then add a wooden coffee table, note that one of the legs is wobbly. And add six chairs in good condition, noting that one of the six has a minor dent on the right leg."

In a single spoken sentence, the AI creates:

  • the Living Room
  • a sofa (blue fabric) with the remark "torn armrest", rated in poor condition
  • a wooden coffee table with the remark "one of the legs is wobbly"
  • six chairs rated in good condition, with an individual note on one: "minor dent on the right leg"

Notice what the AI deduced on its own. First, "six chairs" represents a set of individual items, and the defect applies specifically to one chair, not all six. Second, "one of the legs is wobbly" is recorded as a functional observation rather than a condition rating: it is an objective finding, not an adjective. This is precisely the kind of nuance keyword-based speech recognition fails to capture.

Example 3: Move-Out Inspection with Full Damage Costing

Check-outs and move-out inspections are where voice dictation truly shines, because details matter and money is on the line.

"Create a paintwork item, set the condition to poor. Add a comment that it is white paint refurbished one year ago, that the current tenant left heavy staining, and that repainting is required. Add 5 square meters of paint at €50 per square meter, plus 4 hours of labor at €75 per hour, and allocate the total as tenant liability."

The result, without touching the keyboard once:

  • a Paintwork item created and rated in poor condition
  • a comprehensive comment covering history (refurbished a year ago), observation (heavy staining), and conclusion (repainting required)
  • an itemized cost breakdown: 5 m² × €50 = €250 for materials, 4 hrs × €75 = €300 for labor
  • a total of €550, assigned as tenant liability

You get a detailed report detailing quantities, unit rates, hourly labor rates, total hours, and liability allocation. In other words, a solid document that stands up against tenant disputes, satisfies property owners, and holds up in court if necessary.

Try typing all of that manually on a tablet while standing in a hallway with a client watching over your shoulder.

What Happens When You Lose Cell Signal?

A fair question, and the first one field professionals ask. Inspection reports often take you to basements, underground parking spots, or utility rooms with zero reception.

Here is how it works in practice: the AI pauses, and that’s it.

You simply continue your inspection manually, just like before. Creating rooms, adding fixtures, taking photos, rating conditions, collecting digital signatures: 100% of core features remain available offline. Nothing is locked, and nothing is lost.

As soon as you regain connectivity, AI features automatically resume, and you can pick up voice dictation right where you left off.

This is a core design principle for us: artificial intelligence is an accelerator, never a prerequisite. An inspection app that breaks when the connection drops isn't a professional tool.

Why So Few Apps Can Do This

Standard voice-to-text dictation is offered by several software vendors. You speak, and the tool transcribes your words into an open text box. While handy, that is merely assisted typing: you still had to create the room, add the item, and tap open the field yourself.

What Check-Immo does is completely different. Your speech doesn't just fill a field; it commands the entire application. A single spoken sentence can create a room, add eight distinct fixtures, assign separate condition ratings, write individual notes, calculate cost repairs, and allocate liability to the correct party.

That is the difference between a tool that takes dictation and an AI that executes complex instructions.

It also transforms your professional posture during inspections. You are no longer hunched over a tablet keeping everyone waiting. You are inspecting the property, commenting aloud, and maintaining eye contact with your client while the report generates itself in real time.

How to Try It

The Check-Immo app is free to use with no time limits. You can perform complete property inspections, test voice dictation, try photo analysis, and review reports without paying a dime. Only generating the final PDF consumes a credit.

Photo analysis and unlimited AI features are included in Cloud and Pro plans. Without a subscription, AI features remain accessible on a pay-as-you-go credit basis.
